Event Coordinator at DTU Biosustain (32hrs/Week)

If you are skilled Event Coordinator with solid experience and perhaps even from a university you might be the new colleague we are looking for. Our Secretariat is looking for a self-driven and dedicated colleague with a back ground in event coordination and/or travel industry.

Center for Biosustainability is a global leader in the development of sustainable biosolutions.

You will be part of our Secretariat, helping our colleagues coordinating their conferences, events, (larger) meetings etc.  You will need good communication skills in English when collaborating with your international colleagues.

Your responsibilities primarily include:

  • Coordination and planning of all DTU Biosustains internal events, seminars, conferences and meetings
  • Ordering of catering and other related orders as to the above
  • Hostess at some of the above
  • Elaboration and lay-out of invitations and event home page in Conference Manager and subsequent administration of these
  • Printing and preparation of name tags for above events
  • Coordination and catering ordering for our PhD defenses
  • Requests, collection and evaluation of quotes for above events from venues and suppliers
  • Booking of meeting rooms on campus and externally
  • Handling of expenses
  • Minor purchases
  • Ad hoc administrative tasks
  • Collaboration with Campus Service, moving company etc. as to events
  • Handling of invoices and elaboration of purchase orders and annual orders in FUSION

Qualifications:

  • Background in event coordination, travel industry or other industry requiring solid organizational and planning skills
  • Min. 5 years’ experience
  • Super User of Conference Manager and Meeting Manager
  • Preferably super user knowledge with invoice and purchase order handling in FUSION
  • An eye for, interested in and knowledge as to lay-out and text design
  • Excellent communication skills in written and oral English

It is imperative that you are meticulous with your tasks and that you are able to have a critical view on your approach to your tasks. It is important that you are flexible, as we help each other within the team, when necessary, without regards to our job description. It is also important that you are flexible with your working hours in case of absence within the team. It is imperative that you have good organizational skills and that you are service minded and accommodating but also able to put your food down when necessary.

Salary and terms of employment

The appointment will be based on the collective agreement with the Danish Confederation of Professional Associations (AC). The allowance will be agreed upon with the relevant union.

The position is for 32 hours/week.

DTU Biosustain
