Job Description

We are looking for a competent & strategic Executive Secretary to support our companies CEO, who works out of Denmark, Hong Kong, Spain and USA. You will be the one to be string holder and support to organize and maintain the CEO’s schedule and assist him by performing a variety of management tasks mainly within technical, sales, marketing and administrative areas and a daily to yearly basis. Deep understanding of English and ability to travel is a MUST.

Our right candidate must be a quick & tidy professional with great time-management and multitasking abilities. The goal is to contribute to the efficiency of the overall business by ensuring all assigned management tasks and duties mainly within technical, sales, marketing and administrative areas are carried out timely and efficiently.

WORK DETAILS:
•    Office-based job / Home-based position.
•    Ability to travel internationally as required.
•    Proficiency level of English both written and spoken. 
•    Willing to work needed hours per week, mainly between 9:00 to 18:00 CET. 24/7 availability on demand. But often limited to a 4 day work week Monday to Thursday.

QUALIFICATIONS:
•    Degree in business administration or relative field.
•    Proven experience as executive secretary or similar administrative role.
•    Proficient in MS Office and “back-office” software.
•    In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry.
•    Familiarity with basic research methods and reporting techniques.
•    Excellent organizational and time-management skills.
•    Integrity and confidentiality.
•    Solid English communication skills, both written and verbal.
•    Familiarity with business principles and practices.
•    Ability to work under pressure and meet deadlines.

DUTIES AND ACCOUNTABILITIES:

•    The Objective is to support the CEO where needed and help the CEO perform his function the best way possible. This objective will demand confidential information handled and secured. Work out of office in Denmark, Spain, Hong Kong, United States and Manila as the CEO´s right hand on site or with the CEO directly, either way round. The job demands 24/7 availability on demand. Willing to and be able to travel on short demand.
•    Handle requests from CEO and open up/plan STEP Job cards on employees within our organization to handle and perform own tasks and secure other tasks and assignments completed within set deadlines and budgets.
•    Schedules meeting and appointments which also includes preparation of agenda, take part in said meetings for note taking, deliver ideas for company growth and development.
•    Answers, screens, and transfers incoming calls.
•    Make travel arrangements for executives. 
•    Keep our inhouse database aligned and updated in good working order. This includes, adding of supplier/customer company cards, adding of Job Cards, input of product sales price or cost prices, and exporting pdf reports from the database.
•    Other relevant tasks as assigned by immediate superior/management.
